Managing Preventative Maintenance Tasks (non-fleet assets)
In order for Preventative Maintenance tasks to work, all work tickets must be created in the following procedures.
To view upcoming Preventative Maintenance tasks, go to Reports > Strategic Maintenance Planning > Preventative Maintenance > Due to run the Preventative Maintenance Overdue Report:
Select a Date from the date drop-down menu. The PM Overdue Report displays any records that will be overdue as of the date entered here.
If you are planning to issue works before they are overdue, you must specify a date in the future (e.g. two weeks to allow for planning).
Click 'Update' to refresh the view:
You will now see a list of all the PM records that are due by the selected date.
The report uses the asset's latest meter reading value and/or the selected date to determine whether a PM item is due for completion.
Creating a Work Ticket for a PM Item
To initiate a Work Ticket for an upcoming PM Item, highlight the record in the list and click on the 'Create Work Ticket' button:
A Work Ticket/Work Item combination will be created based on the Work Ticket Template that has been configured for the select PM Program.
Please click here for more information about creating and managing PM Work Ticket templates.
Edit the Work Ticket and/or Work Item to ensure it contains all the relevant information.
E.g. you may need to enter a Scheduled Start Date and Job Duration, depending on your business processes.
Dispatch the Work Ticket and hit OK to save any changes.
If a Work Ticket exists against an overdue PM Item, its ID will be listed in the Current Work Ticket column.
You can view an existing Work Ticket by highlighting a record that has a Work Ticket assigned and hitting the View Work Ticket button:
The PM Record will be automatically removed from the Overdue list once the attached Work Ticket is complete.
Skipping a PM Item
There may be a requirement to skip or delay a PM Item, instead of initiating a Work Ticket. To do this, highlight the relevant record and click the 'Skip PM' button:
You will be prompted to enter the next due value (as a date or meter reading, depending on the PM record). Click on 'OK' once done.
When a PM item is skipped, the Preventative Maintenance Overdue Report will automatically refresh and remove the PM Item from the overdue list.
The PM Item will appear in the report again once the newly added date/meter reading value satisfies the overdue criteria.
